Multi-Year Agreements – Everything You Need to Know

Tinsel CRM supports Multi-Year Agreements! A Multi-Year Agreement allows you to offer your customers up to five options for contract length, while only building one proposal! Let’s take a look at how it works.

The first thing you’ll need to do is configure your agreement options. 

To configure your agreement options:

  1. Navigate to Settings > Proposals.
  2. Locate the “Agreement Types” section. 
  3. Inside the “Agreement Types” section, you’ll see two types of agreements.
    1. Single
      • This agreement type allows you to offer a single pricing option. This option is the most conventional type and it is likely you are already familiar with this type.
    2. Multi
      • This agreement type allows you to offer up to five different pricing options. 
      • Some common examples of this type include:
        • 1-, 3-, or 5-year agreements
        • 1-, 2-, or 3-year agreements
        • 1-, 2-, 3-, 4-, or 5-year agreements
        • 3- or 5-year agreements. 
  4. To add options, simply add the name, and add a 3-character abbreviation code (this will identify which option you are working with when editing the inventory item pricing) and click the check box to activate the option. EXAMPLE: For a 1-year agreement, a simple abbreviation code would be 1YR
    • It is worth noting that what you enter here is a placeholder. These options can all be changed inside of an individual proposal, and it will not affect other proposals, past, present, or future. 
    • A best practice is to create your options one time, and if you ever need to adjust them, adjust them inside individual proposals. 

Once you have your agreement options created, you will need to adjust your pricing in your inventory. Let’s go over that.


How to adjust your pricing for Multi-Year Agreements:

  1. Navigate to your inventory page. 
  2. Click on any inventory item.
  3. You will be presented with a pop-up window that looks like this:
  1. Under “Price (Multi)” you will notice a dropdown menu. 
  2. Click the menu and select the option whose price you’d like to edit. 
  3. Enter the new price for that option. 
  4. Continue to do this for the rest of the available options.
    • NOTE: Only the options that are turned on in the settings page will be present. 
  5. Click Save
  6. You have just edited the pricing for this inventory item. 

You can also download your current inventory and edit it in a spreadsheet editor (Like Excel or Google Sheets). For more information on that, see this article.

Once your inventory is updated, you can quickly switch between Single or Multi, and edit the Multi options in an individual proposal. Let’s go over that next.


To switch between Single and Multi-Year Agreements inside of a proposal:

  1. Navigate to the build proposal page. 
  2. Inside the General section, you will see “Agreement Type” with two options: Single, or Multi
  3. To turn on Multi-Year Agreement, select Multi.
  4. You’ll notice that as you do this, the Pricing section on the page will change. 
  5. In the pricing section, you will see that the options selected are those that are selected in the settings page mentioned above. This is the default. However, you will notice that you can also change which options are selected here, as well as rename them. This will affect this proposal only and will not affect any other proposals. 
    • NOTE: When you elect to add an option, the title and abbreviation code MUST be entered. 

A Few Notes:

  • When a client looks at a proposal, they’ll be able to select which Multi-Year Agreement they want. Then, they can select “Agree” and move forward with the process. You should check out a new proposal so you can get familiar with the layout. 
  • When you change the Multi-Year Option titles and abbreviations in a proposal, it will only affect that specific proposal. If you change the options on the main settings page, it will affect all future proposals. Any past or present unaccepted proposals will remain unchanged.
