Entering “Actual Used Quantity” amounts (Versus Bid amounts)

In the installation stage, users can provide actual counts of products used during the installation. It is helpful to know the difference between bid amounts and actual amounts for various reasons, including refining your estimating process. 

You can enter “Actual” amounts in two ways:

  1. From the project page on the CRM
  2. From the project page on the Employee Portal

To enter “Actual Used Quantity” amounts from the project page on the CRM:

  1. Navigate to the Project page one of two ways:
    1. From the “Projects” Page
      1. Navigate to the Projects Page in your navigation bar
      2. Select the project for which you want to enter the Actuals.
    2. From the Client Page
      1. Navigate to the Clients Page in your navigation bar
      2. Select the client that owns the project for which you want to enter the Actuals.
      3. Scroll down and select the Projects tab.
      4. Select the project for which you want to see the Inventory Prep.
  2. Select the “Installation” tab in the Pipeline (about halfway down the page).
    • NOTE: You must be in or beyond the “Installation” stage in order to click on it. 
  3. You should now see any feature items needed for this project. 
  4. For each item, you can now enter the Actual amount by simply clicking on the box, and entering the number. 
  5. You will notice the number in the “Difference” column will adjust. The overall goal is to have the smallest “Difference” amount possible. 

To enter “Actual Used Quantity” amounts from the project page on the Employee Portal: 

  1. In the Employee Portal, navigate to the project one of two ways:
    1. From the schedule, click on a project, OR
    2. In the project tab, click on a project.
  2. Locate the “Features and Feature Items” Panel
  3. Each Feature Item has a field named “Used Quantity”
  4. Simply click into the number box, edit the number, and click the check mark button for that box,
  5. You have just updated the Actual Used Quantity for this Feature Item.
