How to Create and Send A Proposal
To create a new proposal:
- Navigate to the project page one of two ways:
- From the Projects Page
- Navigate to the Projects Page in your navigation bar
- Select the project for which you want to create a new proposal.
- From the Client Page
- Navigate to the Client Page in your navigation bar
- Select the client that owns the project for which you want to create a new proposal
- Scroll down and select the Projects tab.
- From the Projects Page
- Scroll down and select the proposals tab.
- Click the New Proposal button
- Enter the information:
- Name: Name your proposal
- Tax: Here is where you will select which Tax Jurisdiction the proposal will be in. To learn how to set up your tax jurisdictions, see Here.
- Clone From: Clone From will show you all of the previously accepted proposals for this particular client. This allows you to quickly copy a proposal from a previous project. This is particularly helpful for returning clients from previous years. Just choose which proposal you would like to clone and a new proposal will be created with all of the same features and feature items. If you don’t want to clone a previous proposal, just choose “None” from the drop down menu.
- If you clone a proposal, you need to decide if the Feature Item Type will be New or Existing
- New: If you are using materials NOT allocated to this project, then select New
- Existing: If you already have the materials in a box allocated for this project, choose existing.
- You can always change these settings per feature item after the proposal has been created.

- Click Save.
- You are now brought to the Proposal Page.
- You have successfully created a new proposal, but we still need to populate it with some details!
On the Proposal Page, In the General Panel, you will notice various settings that can be changed.
- Name: Change the name of the proposal.
- Agreement Type
- There are two “types” of proposals:
- Single: Use this setting if you are only giving your client a proposal for this year.
- Multi: Use this option if you are offering your client multiple agreement options. For example: 1-Year, 3-Year, and 5-Year. For more information on Multi-year Agreements, click HERE
- There are two “types” of proposals:
- Tax: Change the Tax Jurisdiction.
- Discount: Here is where you can apply a discount to your proposal. NOTE: You can toggle between percentage discount and actual Cash Amount discount by clicking on the % button or the $ button .
- Terms & Conditions: Here you can select which Terms & Conditions will show on the Proposal. To learn how to set up your Terms & Conditions, see HERE.
Adding 1st Invoice Details
- Before you send out your proposal, you need to add your first invoice details. This invoice is typically used as the deposit. As soon as the client accepts the proposal, they will be redirected to their first invoice. The first invoice will also automatically be emailed to the client immediately after they accept the Proposal. The 1st Invoice Details include:
- Amount: (amount due for the first invoice)
- Days until Due: (days until the amount is due for the first proposal)
- If you enter 0, the proposal will show the due date as “immediately”.
Now let’s add some line items to our proposal!
NOTE: It’s important to note that for proposals, we have two major components:
- Features: Things that you want to decorate
- Examples: Roofline, Shrubs, Trees, etc.
- Feature Items: Things that you use to decorate Features
- Examples: C9, Mini Lights, Garland, etc.
Adding Features
- Click New Feature
- Name your Feature (i.e. Roofline, Bushes, Tree, etc).
- Add a description. (OPTIONAL)
- Add the estimated Installation Hours or Removal Hours. (OPTIONAL)
- You also have the option to choose to hide the price of this particular from the proposal. This means you would not see a cost on this line item, but it would still be included in the proposal total.
- Decide if you’d like this feature to be Optional. If this box is checked, your client will have to ability to select or deselect this Feature when accepting their proposal.
- Click Save.
Adding Feature Items
- After you create a Feature, you can now create Feature Items for this Feature.
- Click “New Feature Item” (NOTE: you may not see this button if the Feature is collapsed. To expand the Feature, click in the blank space between the name of the Feature and the Price.)
- A pop up window will appear where you can enter all the details for your Feature Item.
- Choose the Item Category. (NOTE: Your Items and Item Categories are set up when you create your inventory. To learn how to set up your Inventory, See HERE.)
- Choose the Item. (NOTE: Your Items and Item Categories are set up when you create your inventory. To learn how to set up your Inventory, See HERE.)
- Enter the quantity. NOTE: you will see your Current inventory count, and Adjusted inventory count listed here for reference.
- Choose the Type
- New: use this type if the feature item is being pulled from your inventory count.
- Existing: Use this type if the feature item is already set aside for this client, for example in a client’s box on a shelf from last year’s installation, or stored at the client’s home.
- Cost will be automatically populated from your inventory but can always be adjusted here for this particular project. Adjusting the cost here will not affect the rest of your proposals.
- Price will be automatically populated from your inventory but can always be adjusted here for this particular project. Adjusting the price here will not affect the rest of your proposals.
- Choose whether or not to show this feature item on the proposal. If hidden, the price will still factor into the proposal total.
- Choose whether to show the quantity of this feature item (For Example, we like to show the quantity on Wreaths, but not for C9 on a roofline).
- Choose whether this item is Taxable or not (some states can tax materials but not labor. Check your local laws.)
- Choose Image Type (This refers to a small thumbnail image that will appear on the proposal next to the Feature Item, NOT your mockup images)
- None: No image will show on the proposal
- Item: The image you have uploaded in your inventory will show next to the Feature Item on the proposal.
Continue Adding Features and Feature Items until your Proposal is complete!
Helpful Hints:
- You can collapse or expand each Feature to save screen space and work more efficiently. To do this, just click on the blank space between the name of the Feature and the Price.
- You can easily rename the Feature by clicking on the Name and editing.
- To rearrange the Features, you can click and hold the 6 dots next to the Feature name, and drag up or down. This is easier to do if you have the Features collapsed.
- Bulk Actions are an easy way to apply settings to All Features or Feature Items.
- Bulk Actions for Features include:
- Expand / Collapse All
- Show / Hide Prices
- Make Optional
- Bulk Actions for Feature Items include:
- Show / Hide Feature Item
- Show / Hide Quantity of Feature Item
- Make Taxable
- Bulk Actions for Features include:
- Continue adding features and feature items until your proposal is complete!
- Once your proposal is complete, you may send it out by clicking the gray Send button at the top of the page.
- You can always view your proposal by clicking on the purple View button at the top of the page.
- Be sure to Save your proposal any time you edit it by clicking the green Save button at the top of the page.
